Practice Perspectives: Embracing Cloud-Based Efficiency with April Oliver, O.D.

|

Eyefinity’s commitment to innovation drives us to develop optometry software that efficiently manages behind-the-scenes tasks while simultaneously elevating the patient experience.

For April Oliver, O.D., owner of Today’s Vision, Eyefinity has proven to be a game-changer in more ways than one. In 2018, Dr. Oliver decided to migrate from OfficeMate to our cloud-based solution comprised of Eyefinity Practice Management and Eyefinity EHR.  A pivotal moment came when she realized her aging server could no longer keep up with the evolving needs of her practice after expanding from one office to three.

Faced with the prospect of incurring significant upfront costs for a replacement, she considered the idea of transitioning to the cloud. Her first glimpse of our complete cloud solution came during Vision Expo where she explored various practice management options. Dr. Oliver was impressed with Eyefinity Practice Management’s performance and layout, making it the clear winner for her office.

“I didn't want to rely on a server, I wanted to move to a cloud-based solution so that we didn't have to worry about technology failing us. We have three offices. I wanted something that could be integrated together and not break apart. The move was really for ease and security,” she said.

Several years since the initial switch, her practice continues to enjoy the user-friendly interface and valuable and convenient integrations— a generous return on her investment that improves the overall patient experience.

Accessible and Accelerated Onboarding

The intuitive design and smooth navigation made it easy for her practice staff to pick up quickly. Even with the recent addition of new staff, Dr. Oliver’s team has been able to adapt to the software in under two weeks. She highlights the value of Eyefinity’s online tutorials, especially for newcomers who may be unfamiliar with the ins and outs of the eye care industry.

Integrated Efficiency

The VSP integration has been instrumental in enhancing efficiency by creating a streamlined workflow that addresses a major concern for her practice: untimely payment processing.

“My staff find it helpful that Eyefinity Practice Management is integrated directly with VSP. They're able to pull authorizations and rectify claims all on the same platform without having to go to a different software. The fact that it's also integrated directly with TriZetto has really improved our efficiency with filing and receiving medical insurance claims. It was very easy and added a lot to our bottom line.”

Elevated Patient Experience

One standout feature Dr. Oliver appreciates is the integrated online scheduler — a convenient tool that empowers patients to book appointments at any time, including after hours. At no additional cost, this feature shows patients available appointments in real-time, resulting in less phone time and back and forth for her staff.

Streamlined Inventory Tracking

With three offices to manage, having a centralized platform to monitor inventory levels has been helpful. She notes the ease of printing labels and checking the availability of items in stock among multiple locations. The ability to quickly identify which office has specific items in stock adds an extra layer of convenience and organization to the inventory management process.

Navigating change can be challenging, but when presenting the benefits to her staff, Dr. Oliver emphasizes the value of focusing on the positive and where that can lead. Her success story is one of many that demonstrate how important innovation is for modern practices. By transitioning from OfficeMate to Eyefinity’s cloud-based software, practices like Today’s Vision can provide a streamlined experience for patients and simplify workflows for their staff.

Encouraging her team to lean into the transition allowed them to adapt and grow within the always changing and dynamic eye care industry.

“The initial change to something unfamiliar may get you a little pushback, but if you're excited about the product and share that your intent is to make their life easier, in the long run, it's a win-win scenario.”
